We collect different personal data depending on how you use the site:

• Contact form: the name, email address, subject, and message you submit at ActiveSafe/#contact.
• Club and partner directory: publicly available club and organisation details, used to power the club finder.
• Survey responses: see section 9 below for the full survey-specific notice, which covers the additional categories of data (including special category data) collected through the ActiveSafe club safety survey.
• Cookies and similar technologies: see our Cookie Policy for full details of what we set and why.

• Contact form enquiries: processed under legitimate interests, to respond to your enquiry.
• Survey responses: processed under legitimate interests and, for special category data, your explicit consent (see section 9).
• Analytics cookies: only set with your consent, given via the cookie banner.

We do not sell personal data. We use the following third-party processors to run the site, each of whom processes data on our behalf under a data processing agreement:

• Brevo and Postmark — to send transactional and campaign emails (e.g. survey follow-ups, contact form replies).
• Google Analytics — anonymised, aggregated usage analytics, only loaded if you accept analytics cookies.
• Google reCAPTCHA — spam and bot protection on our forms.

We may also share anonymised, aggregated insights derived from survey data with National Governing Bodies of sport, local authorities, police, or researchers, regarding regional trends rather than specific incidents or individuals.

• Contact form submissions: retained for as long as needed to handle your enquiry and for a reasonable period afterwards in case of follow-up, then deleted.
• Survey data: see the retention periods set out in section 9.

We use reasonable technical and organisational measures to protect personal data against loss, theft, unauthorised access, disclosure, copying, use, or modification, and we only collect what is necessary for the purposes described in this policy.

Under UK GDPR, you have the right to:

• Request access to the personal data we hold about you.
• Request correction, anonymisation, or deletion of your data.
• Object to or restrict certain processing.
• Withdraw consent at any time, where processing is based on consent.

This section explains how we collect, use, and protect the information provided specifically in the ActiveSafe club safety survey.

9.1 Data we collect

By completing the survey, we may collect:

• Contact information: your name and email address.
• Club details: club name, type, and membership size.
• Survey responses: information regarding your club's experiences with harassment, safety measures, and committee-level discussions.
• Sensitive information: reports of sexual harassment, verbal abuse, or intimidation (Special Category Data).

9.2 Purpose and lawful basis

• Legitimate interests: to understand the landscape of Public Harassment (PH) in the UK and develop better resources for sports clubs and groups.
• Consent: by submitting the survey, you provide explicit consent for us to process your responses, including any sensitive information related to harassment.

9.3 How we use your data

• Anonymisation: all data will be anonymised or aggregated before being shared in any public reports. No individual or club will be identifiable in published results.
• Direct support: we may use your contact details to follow up if you have requested specific advice, resources, or guidance.

9.4 Data retention

• Contact data: retained for 24 months unless you request deletion sooner.
• Anonymised survey data: may be kept indefinitely for long-term trend analysis and research.

9.5 Data sharing

We do not sell your data. We may share anonymised, aggregated insights with National Governing Bodies (NGBs) of sport, and local authorities, police, or researchers (regarding regional trends rather than specific incidents).

9.6 Your rights

The rights set out in section 7 above apply equally to your survey data.
